FREEWHEELERS OF SPARTANBURG


POLICY FOR THE SUPPORT OF LOCAL RIDES IN THE SPARTANBURG AREA as of 02/07/2005

 

AVAILABLE FUNDS

20% of the club's net income, as defined below, is available each calendar year to individuals and/or organizations interested in organizing rides in the Spartanburg area. Any funds requested above the allocated 20% would require board approval. The board also has the authority to allocate funds based on the number and size of rides supported and projected number of funded rides.

Any unused funds as of December 31st would remain in the Freewheeler account with no provision for rollovers to the next year.

Net income to be defined in January as the total of the net profits from the most recent assaults on Marion and Mitchell, plus the membership dues collected during the previous calendar year.

QUALIFICATIONS

Qualifying individuals and organizations are required to meet the following criteria:

1) Individuals requesting funds must be an active member of the Freewheelers of Spartanburg.

2) Organizations requesting funds must be located in the Spartanburg area.

4) Other bike clubs can request funds for approved joint rides with shared expenses.

PROPOSED RIDES

All individuals and organizations interested in organizing rides and seeking reimbursement for the rides would be required to submit to the Freewheeler board their proposal at least 90 days in advance. (The only rides eligible for reimbursement while not following this policy are the official Spartanburg Freewheelers Assault on Mt. Mitchell and associated Assault training rides.)

The proposal should include:

1) Proposed bike route (or routes).

2) Proposed ride dates.

3) Detailed estimate of required funds. Examples of reimbursable funds include paint and signs for bike route, insurance and food for rest stops including the start / finish area.

Examples of non-reimbursable funds include entertainment, fuel, labor, and prizes or other give away items.

4) Details of any involvement of other organizations and their contributions.

Ride Details

1) All rides must start and/or finish in the Spartanburg area. The board has authority to approve rides outside the Spartanburg area as long as it originates within a reasonable driving distance for the primary membership.

2) If the ride organizer chooses to charge a rider fee or require donations, Freewheeler funds may be limited. When an entry fee is collected, all incoming and outgoing funds will go through the Freewheelers' treasury. (The exception to this is if the entity that collects the funds is a nonprofit organization, i.e., Spartanburg Library system, Spartanburg Humane Society.)

3) Riders are required to follow all safety rules of the Freewheelers including the wearing of helmets and following all traffic laws.

4) Organizers are encouraged to have rides to fit all rider abilities from beginners to advanced.

5) The freewheelers insurance would be available if needed for approved rides. It is the responsibility of the ride organizer to make riders aware that they have no insurance coverage on the free rides if they are not a member of the freewheelers. See insurance details below.

6) Any items purchased to support the rides such as tables, water coolers, and signs will become the property of the freewheelers for use on other rides. Organizers will include these items in the detailed estimate mentioned above so if they are already on hand they will be loaned out by the club instead of purchased.

7) When the freewheelers sponsor any ride, the Freewheelers of Spartanburg's name and logo as well as a request for volunteers to assist with the Mt. Mitchell and Marion rides will appear on all advertisements/flyers/entry forms, etc. This will include all news articles, whether it is other club’s newsletters or newspapers. Freewheelers' involvement may extend to route selection, marking routes, developing cue sheets or supplying and coordinating food stops.

Freewheelers Accidental Medical Insurance

Free Rides: The Insurance only covers active Freewheeler members. This must be clearly stated in the ride advertising and announced to all riders at the start.

Rides charging a fee: Insurance will cover all riders, but this must be submitted and approved by the Insurance Carrier at least 90 days in advance. The cost of the insurance may be an expense paid by the Club, but this will subtract from the total funds provided by the Club.
